The cinema setting for the conference brought unexpected energy and impact, while the adjoining hotel offered a sophisticated backdrop for dinner and awards.

We paired the Odeon cinema and The Londoner hotel to create something unusual and cost effective. This dual setting gave the client a standout venue combination, while keeping costs under control. Our relationship with the hotel also meant pre-event requests and onsite changes were handled quickly.

We knew hotel check-ins could be a friction point, so we created two welcome desks in two separate locations. Keys were ready in batches and handed out in under seven minutes – no queues, no stress, no loss of atmosphere.

Entertainment was carefully chosen to strike the right tone. Our role was to collaborate with those partners, making sure every logistical detail was covered. From supplier load-ins to minute-by-minute show timings, we coordinated the flow so that dancers performed seamlessly between courses and service staff cleared the floor exactly when needed. It was precision scheduling that made the evening feel effortless.

  • Guests were guided clearly at every step, never left wondering where to go or what came next.
  • Every supplier, from AV teams to venue staff, was managed collaboratively so the client saw one joined-up team.
  • When a last-minute request came in to deliver an award after the event, we made it happen – hand-delivered to the recipient’s home.

Working with multiple external suppliers also meant close collaboration. By taking ownership of all timings and logistics, we ensured every partner could deliver their part smoothly, without overlap or disruption to the guest experience.

Behind the scenes we also adjusted room nights to avoid additional accommodation costs. The client had confidence knowing we understood the venues, suppliers and show producer, and could bring everyone together seamlessly.

Guests moved smoothly through the day. Costs were controlled through smart venue pairing, efficient room night planning and pared back props. The process felt easy for the client because the team and supplier relationships were already in place.
